We are:

  • Carefully following the guidance of the World Health Organization (WHO) and the Centers for Disease Control and Prevention (CDC);
  • Adhering to the travel restrictions and guidance of the UK government;
  • Communicating with our conference venue regarding their cleaning protocols and recommending they review the CDC and the WHO guidance;

  • Encouraging attendees to follow the guidance of the CDC for everyday preventive actions to help prevent the spread of respiratory viruses.

CDC guidelines include:

  • Wash hands often with soap and water for at least 20 seconds, especially after using the bathroom; before eating; and after blowing your nose, coughing, or sneezing.
  • If soap and water are not readily available, use an alcohol-based hand sanitizer with at least 60% alcohol. Always wash hands with soap and water if hands are visibly dirty.
  • Avoid touching eyes, nose, and mouth with unwashed hands.
  • Avoid close contact with people who are sick.
  • Stay home when sick.
  • Cover a cough or sneeze with a tissue, then throw the tissue in the trash.
  • Clean and disinfect frequently touched objects and surfaces using a regular household cleaning spray or wipe.

We are closely monitoring advice from the UK government, the University of Oxford, and international health experts. Currently, the conference will continue as planned. We will keep our community up to date on the latest news, information, and approaches to help keep our attendees healthy and safe. We will communicate any changes with conference delegates directly and update our website accordingly.

Cancellation and refund policy

If you would like to cancel your conference order [registration and accommodation bookings] please let us know as soon as you can. We will be able to refund the bulk of your booking within the parameters below:

  • More than 2 weeks before the start date (by end of 07 March 2020): 100%;
  • 1-2 weeks before the start date (by end of 14 March 2020): 50%;
  • Less than 1 week before the start date (from 15 March 2020) : 0%.

Please note that refunds will take up to two weeks to process; and that there is a GBP20 non-refundable deposit on all bookings.

Unfortunately, we are not able to incorporate any changes to the programme after it has been published.

This year we are breaking with tradition and will not be providing any notebooks or pens at the CSAE Conference 2020, so make sure that you bring any equipment that you might need. This is all part of our effort to reduce waste and unnecessary printing at the Conference. We will also not be providing any printed versions of the programme, so make sure that you download the CSAE Conference 2020 App before you arrive to plan your conference agenda. The CSAE Conference App will launch in mid-February 2020.

Accommodation is available at St Catherine's College from the 20th March to the 24th March 2020 for £84 a night (including breakfast). This can be booked via the registration website (as part of the registration form) on a first-come-first-served basis.

You are able to book accommodation at St Catherine's College, Oxford, for the duration of the CSAE Conference 2020 via the registration process. Find out more on the registration website.

Registration types

  • Self-funded (a participant who has not been offered funding and is not a CSAE member);
  • CSAE Member (a participant who is a CSAE member);
  • Funded (a participant who has been contacted and offered funding).

If you select the wrong registration type as part of your registration, we will contact you to let you know that you need to start the process again.

You can register for the CSAE Conference 2020 via the registration website. Speakers must register by 31 January 2020, the registration portal will remain open for all other participants until 01 March 2020.

All accepted papers can be updated (including paper titles, author information and improved versions of the paper itself) until 31 January 2020.

To modify your paper, log into the CSAE Conference 2020 Submission site.

We welcome children to the CSAE Conference, and the Conference venue, St Catherine’s College, is happy about children being within the college premises (including the tea/coffee/meal areas), if they are accompanied by their parent or a nominated carer who will assume responsibility for the child's safety.

If you would like us to put you in touch with an agency who will provide certified childcare while you are attending the conference, then please let us know by the end of February 2020.

A private space for breastfeeding will be available at the venue.

 When you submit your paper, you will be asked to upload a pdf. The word limit for the abstract is 4000 words. The remainder of the paper can be any length providing the total size of the PDF file is less than 5MB.

 To add your co-authors to your submission:

  1. Log into the online submission system;
  2. Click on My Submissions;
  3. Open your submission by clicking on the Edit button;
  4. Click on Add Co-Author in the second page of your submission.

We are able to review papers written in French as well as English. We are unable to review papers written in any other language. If you are submitting a paper written in French, please note that the abstract and the title must be in English.

If your paper is accepted, the presentation must be given in English.

Each author can only submit ONE paper for consideration.

If you have co-authored a different paper with someone else, they can submit that paper.

There is a limited budget to fund African presenters who are currently living and working in Africa, and who will be travelling from Africa to the CSAE Conference 2020. If awarded, funding will cover flights, accommodation, and conference registration costs. Please note, speakers who are awarded funding are expected to attend the Conference for all three days.

We welcome applications for funding from authors who meet ALL of the following criteria:
  • You must be an African national;
  • You must be living in an African country;
  • You must be working or studying in an African country;
  • You must be travelling to the Conference from an African country.

If your co-authors would also like to apply for funding, then they must be the submitter and presenter of their own unique paper that they have authored.

To apply for funding, please select YES when asked in the online submission form.

 The conference proceedings are not formally published. However, accepted papers will be available online in the CSAE Conference 2020 Programme.

You are free to submit your paper to any publisher for future publication in a journal.

Please note that if you wish to submit a paper which has recently been accepted for publication, you should only do so if your publisher is happy with this. Some publishers embargo content, so you should check with them first.

All accepted papers will be made available for participants to download as part of the online CSAE Conference 2020 programme.
